Private Event Inquiry Reply
Turns a private event inquiry (email, web form, text, or voicemail notes) into a clear, friendly reply that answers what the guest asked, uses only the venue details the owner provides, and lists what the owner still needs to confirm before booking.
Before and after
Subject: Your October 18 party at Fernford Brewing
Hi Yolanda,
Thank you for thinking of Fernford Brewing for Willis's 40th birthday. Here are answers to your questions.
The back room: It is open on Saturday, October 18, and it holds 50 people seated or standing, so your group of about 45 fits. 6 to 10pm works for us.
Cake: Yes, you are welcome to bring a cake. We do not charge a cutting fee.
Taco truck: Food trucks are fine once we approve them. Please send us the name of the truck and we will confirm.
Bar tab: Yes, we can run an open tab with a limit that you choose.
What it costs:
- Room fee: $150
- Minimum spend: $900 on drinks and food combined. The room fee does not count toward the minimum.
- Total if you only meet the minimum: $150 + $900 = $1,050
- Deposit: $200, which holds the date and comes off your final bill
House rules:
- No outside alcohol
- Music plays through our speaker only
- No decorations on the walls. Tape on the tables is fine.
Next step: If you would like to go ahead, let me know and we will set up the $200 deposit to hold the date. You can reach me at 234-555-0160.

Questions for the owner
- How does the guest pay the deposit (card, check, or online link)?
- Does the taco truck purchase count toward the $900 minimum, or only what is spent with us?
- Is there a deadline for the guest to confirm before the date is released?
What it does
Turns a private event inquiry (email, web form, text, or voicemail notes) into a clear, friendly reply that answers what the guest asked, uses only the venue details the owner provides, and lists what the owner still needs to confirm before booking.
Use it when: Use when a bar or brewery gets a private event inquiry and needs a reply, such as "someone wants to book the taproom," "reply to this party inquiry," "rehearsal dinner request," or "can we host a buyout."
