Student Permit Expiry and Test Eligibility Tracker
Takes your student list, with permit dates, lesson hours and other requirements, and shows who has a permit expiring soon, who looks ready to book a road test, and who is missing something.
Before and after
Date used: March 3, 2025. Requirements used: 6 hours behind the wheel, permit held at least 60 days, test fee paid, classroom done. Warning window: 45 days.
Permit expired or expiring inside 45 days
- Dev Forsyth: expires Apr 2 2025 (30 days left). 5 hrs done, 1 hr short. Fee not paid. Permit held 91 days.
Booked for a test
- Owen Walsh: test Mar 14 2025. Permit expires Mar 20 2025 (17 days left), so it is still valid on the test date (6 days before expiry). 8 hrs, fee paid, permit held more than 60 days. All listed requirements are met.
Not ready yet
- Elise Flores: expires Sept 10 2025 (191 days left). 7 hrs and fee paid. Permit held 52 days, so she needs 8 more days and becomes eligible on Mar 11 2025. Everything else is met.
- Chloe Brandt: expires Aug 20 2025 (170 days left). Needs 4 more hours. Permit held 11 days, so she meets the 60-day hold on Apr 21 2025.
Needs information
- Emil Nair: permit issue date is missing, so we cannot check the 60-day hold. 6 hrs and fee paid are met. Expires Oct 5 2025 (216 days left).
Risk flags
- Dev Forsyth: his permit expires in 30 days. He needs 1 hour and the fee paid before booking. Please check test availability before the expiry date, and ask the family to confirm renewal options with the licensing office.
Draft reminders
- To Raj (Dev): "Hi Raj, Dev's permit expires on April 2. He has 1 more hour of driving to finish, and the test fee is still unpaid. If you would like to book a test, please let us know this week. Please also check with the licensing office about the permit dates."
- To Sue (Owen): "Hi Sue, a reminder that Owen's test is March 14. His permit is valid until March 20, so please bring it along."
Actions, most urgent first
- Call Raj about Dev's hour, fee and test timing.
- Confirm Owen's test details with Sue.
- Ask Emil for his permit issue date.
- Contact Elena after March 11 about booking Elise.
What it does
Takes your student list, with permit dates, lesson hours and other requirements, and shows who has a permit expiring soon, who looks ready to book a road test, and who is missing something. It also drafts short reminder messages to students or parents.
Use it when: Use when a driving school needs to track each student's learner permit expiry and road test eligibility, such as "whose permit is expiring," "who can book a test," "check my students' permits," or "update my student tracker."
