Dear Ms. Welch,
Thank you for trusting us with Plumeria Bean today. I am writing because her visit did not go the way we planned, and I want you to have the full picture in writing.
Plumeria Bean did well during her bath. When our groomer, Armando Blanco, turned on the dryer, she growled and snapped, and her mouth made contact with his glove. No skin was broken. Armando stopped right away and towel dried her instead. Her face and feet were not groomed.
We decided to stop the groom there. Our policy is that we do not continue grooming a dog that snaps at the dryer unless the owner approves a muzzle and we do the groom in two shorter visits. We made this decision to keep Plumeria Bean, our team, and the other pets safe.
For today's visit, we are charging $45 for the bath, which is the amount we gave you at drop off. There is no charge for the rest of the groom.
If you would like to rebook, we are happy to talk about doing it with a muzzle, split into two shorter visits. Please call us at 402-555-0122 and we will go over it with you.
Thank you for understanding, and thank you for being such a kind client. We would love to see Plumeria Bean again.
Sincerely,
Annika Young
Owner, Heronwick Pet Grooming
Questions for the owner
- Is the muzzle visit priced differently, and if so, what is the amount for each of the two visits?
- Do you want a line added about how soon the client should rebook?
What it does
Turns the owner's notes about a difficult grooming visit into a calm, respectful letter to the pet's owner. The letter explains what happened, what the salon decided, and what happens next, using only the salon's own written policy. It can also draft a short policy statement for the salon to share with clients.
Use it when: Use when a pet grooming business needs to write or explain its policy on aggressive or anxious pets, or write a letter to a client about refusing, stopping, or changing service, such as: dog bit a groomer, we can't groom this dog, write a refusal letter, muzzle policy, or the dog was too stressed to finish.
