Notary Commission, Bond and E&O Renewal Tracker
Takes the notary's renewal dates and turns them into a clear tracker with reminder dates, a to-do list for each renewal, and short reminder messages.
Before and after
Hi Kamala, here is your renewal tracker as of March 3, 2025.
| Item | Provider | Expires | Days left | Status | Reminder dates |
|---|---|---|---|---|---|
| E&O insurance (100k coverage) | Notary association | April 12, 2025 | 40 | Coming up | March 13, April 5 |
| Background check | NNA | June 30, 2025 | 119 | On track | April 1, May 1, May 31, June 23 |
| Notary commission | State notary office | September 19, 2025 | 200 | On track | June 21, July 21, August 20, September 12 |
| Surety bond (15k) | Clearwater Surety | September 19, 2025 | 200 | On track | June 21, July 21, August 20, September 12 |
| Journal (about 6 pages left) | You | No date | n/a | Needs action | Order a new one this week |
Reminder dates for the E&O are set at 30 days and 7 days because only 40 days remain. The 90 and 60 day marks have already passed.
Do this first: Renew your E&O before April 12, 2025. It is the soonest date, and you do loan signings, where a lapse would be a real gap.
To-do: E&O insurance
- Look for your association's renewal notice or log in to your member account.
- Check that the 100k coverage amount still fits the work you do, and ask the provider if you want to compare higher limits.
- Pay the renewal. Last year it was about 89 dollars, so confirm this year's price.
- Save the new certificate with your commission paperwork.
- Update this tracker with the new expiration date.
To-do: Journal
- You have about 6 pages left, so order or buy a new journal now so you are never without one.
- Keep the full journal safe. Ask your state notary office how long you must keep it.
To-do: Background check (NNA)
- Log in to your NNA account around April 1 and look at the renewal steps.
- Allow time in case anything needs to be reviewed.
To-do: Commission and bond (both expire September 19, 2025)
- Both end the same day, so plan them together.
- Ask your state notary office what the renewal window is, what the fee is, and whether the bond must be in place before the new commission is issued.
- Call Clearwater Surety in June to ask about renewing the bond and what they need from you.
- Check whether any training or exam is required for renewal.
- Do not wait until the last week. A late renewal could leave you unable to work.
Text reminders you can paste into your phone:
- "E&O renewal due April 12. Log in to association account and renew this week."
- "Order new notary journal. About 6 pages left."
Confirm locally:
- Your state's renewal window, fees, and any required training for the commission
- Whether the bond must be filed before the new commission is issued
- How long you must keep completed journals
- What your E&O policy covers and what it excludes, by asking the provider
- What to do if a date slips, by asking your state notary office or an attorney
What it does
Takes the notary's renewal dates and turns them into a clear tracker with reminder dates, a to-do list for each renewal, and short reminder messages. It keeps commission, bond, E&O, and other credentials from lapsing without anyone noticing.
Use it when: Use when a notary needs to track commission expiration, surety bond, and errors and omissions (E&O) insurance dates and get a reminder plan, such as "when does my commission expire," "remind me to renew my bond," "track my E&O," or "what do I need to renew this year."
