Deposit and Booking Policy Replies
Writes a clear, polite, firm reply to a client's message about deposits, booking, rescheduling, cancelling, or missed appointments.
Before and after
Hey Kayla, thanks for letting us know, and I'm sorry your work schedule threw a wrench in things.
Our policy is that deposits are nonrefundable, so I can't send the $100 back. Normally a reschedule needs 72 hours notice, and since your session is March 21 that window has passed. But you've been a great client to us, so we're going to make an exception and move your deposit to a new date.
Dre has already put a lot of time into your design, so we'd love to keep that going. Here are the dates we can offer, both at 11am:
- April 18
- April 25
Just reply with the one that works and we'll lock it in. Your $100 deposit will carry over to the new session, so you won't need to pay another one.
Thanks for being understanding, and we're looking forward to getting your sleeve started.
Check before sending:
- I wrote that the 72 hour window has passed because March 19 is less than 72 hours before the March 21 session at 11am. Change that line if you see it differently.
- I stated that the deposit carries over once and applies to the new date. If you want her to know this is a one-time exception, add a line saying so.
- I did not mention the name of the shop or a sign-off. Add yours if you want.
What it does
Writes a clear, polite, firm reply to a client's message about deposits, booking, rescheduling, cancelling, or missed appointments. The reply follows your shop's own policy exactly and sounds like you, not a legal notice.
Use it when: Use when a tattoo shop owner or artist needs to reply to a client about deposits, booking, rescheduling, cancellations, or no-shows, such as "reply to this DM about the deposit," "they want their deposit back," "client is asking to move their appointment," or "write back about our booking policy."
